This Privacy Policy describes how Reimagine Web Design LLC ("Company," "we," "us") collects, uses, discloses, and protects information when you visit https://preview.reimaginewebdesign.com, use any tool on it (including our free site check), or use the Client Portal (together, the "Services"). It does not cover information we process on behalf of a client as part of that client's own website — that's governed by that client's own privacy policy.
1. Who We Are
Reimagine Web Design LLC is a United States business. You can reach us at help@reimaginewebdesign.com with any question about this policy or your information.
2. Information We Collect
2.1 General site use
- Contact form submissions — name, email, phone, and message content.
- Free site-check submissions — the URL you submit and the resulting scan data.
- Automatically collected data — IP address, browser and device type, pages visited, referring URL, and timestamps, captured through standard server logs.
2.2 Client Portal
If you're issued a Client Portal account, we additionally collect:
- Account data — your email address, a hashed password (we never see or store your password in plain text), your role/permissions, and the client organization your account is associated with.
- Uploaded files — documents, images, brand assets, or other files you or your team upload to the Portal in connection with a project.
- Portal activity — change requests, comments, project status updates, file activity, and security/audit events.
2.3 Public business research
If you give us a business name or website, we may review public information before replying so our response is useful. Sources may include your website, public DNS and domain-registration records, the Internet Archive, and public business listings. We do not buy personal data or use people-search services for this research. Tell us in your message if you would prefer that we skip it.
3. How We Use Information
- To respond to inquiries and provide quotes
- To create and manage your Portal account, and to deliver the design, development, hosting, or maintenance Services you've engaged us for
- To send transactional communications — invitations, password-recovery messages, project and Portal notifications, and our replies to you
- To operate, secure, and improve the Services
- To comply with legal, tax, and accounting obligations
4. Who We Share Information With (Service Providers)
We do not sell personal information. We use the following service providers to operate the Services. Each acts as a data processor on our behalf, under its own terms and security practices:
- Hostinger — our web hosting provider. Hostinger's infrastructure serves this site and generates the server access logs described in Section 2.1.
- Supabase — powers Client Portal account authentication, our application database (account data, project records, and Portal messages), and file storage for uploaded files.
- Google Workspace — our business email provider.
Email sent to or from our help@reimaginewebdesign.com address is processed
through Google Workspace, including:
- messages submitted through our contact form,
- Client Portal account invitations,
- password-recovery messages for Portal accounts,
- Portal-related notifications (e.g., project updates, new messages), and
- our direct, human replies to you.
We may also disclose information where required by law, to protect our legal rights, or in connection with a merger, acquisition, or sale of assets (subject to this policy continuing to apply to your information).
5. Site-Check Tool Data
When you submit a URL to our free site-check tool, our server fetches that site's public homepage to generate a point-in-time scorecard. The result is held temporarily in your session. If you choose to send the result through our contact form, it becomes part of the enquiry sent to our Google Workspace mailbox and local enquiry log. We do not use a submitted URL to contact its owner unless that owner contacts us, and we do not sell scan data.
6. Analytics
We do not currently use an analytics or advertising tracking service on this site. If that changes, we will update this Policy before the service goes live.
7. Cookies
The Client Portal uses a session cookie that is necessary to keep you signed in and protect authenticated requests. The public site stores your light/dark theme choice in your browser's local storage. We do not currently set analytics or advertising cookies. Disabling the Portal session cookie will prevent the Portal from functioning correctly.
8. Data Retention

9. Your Rights and Deletion Requests
You may ask us to access, correct, or delete personal information we hold about you, or to close your Portal account, by emailing help@reimaginewebdesign.com. We'll respond within a reasonable time, generally within 30 days, and will let you know if any information must be retained longer for legal or tax reasons. Depending on your location, you may have additional rights under applicable law.
10. Security
We use technical and organizational measures to protect your information, including:
- encryption in transit via forced HTTPS across the site and Portal;
- encryption at rest and password hashing (never plain text) provided by Supabase's authentication system;
- server credentials stored outside the public web directory;
- HTTP-only Portal sessions and protection against cross-site request forgery;
- role-based access, so Portal data is visible only to your account, associated team members, and authorized Reimagine Web Design staff who need it to deliver the Services; and
- we do not store full payment card numbers; any payment processing is handled by a PCI-compliant third-party processor.
No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
11. Children's Privacy
The Services are intended for business use and are not directed to individuals under 16. We do not knowingly collect personal information from children.
12. Changes to This Policy
We may update this Privacy Policy from time to time. The "Last updated" date above reflects the most recent revision. Material changes will be reflected on this page.
